Contract repository

Contract repository software with dates you can search

Contract repository software is a central, searchable store for signed agreements and the facts inside them. Signee files every signed contract with its audit trail certificate and reads the parties, value, start, end, renewal and notice dates from the text, so you can search by any of them and find the right agreement in seconds instead of opening folders.

  • Every signed PDF with its certificate
  • Parties, value and dates extracted
  • Filters by type, counterparty and date
  • Imports of older contracts on Company

A folder of PDFs is storage, not a repository

Most companies can find a contract if they know the file name. The hard questions are different: which customer agreements over 50,000 USD end next year, which vendors can raise prices on renewal, which contracts were signed under the old template. A folder cannot answer those, because the facts are locked inside the documents.

A contract repository answers them by storing structured data next to each file. When an agreement is signed in Signee, the sealed PDF and its audit certificate are filed together, and the key terms are read from the text right away: who the parties are, what the agreement is worth, when it starts and ends, whether it renews automatically and how much notice is needed to stop it. Those fields become filters, so the question above is one search.

The repository is the storage layer of Signee, the contract management software that also drafts, routes and signs the agreements that end up in it. If you want the whole system around the store, from templates to approvals, see the contract management system overview.

What is stored

The fields that make each agreement findable

Every agreement in the repository carries the same set of fields, whether it was drafted in Signee or imported.

Parties and signers

Legal names of both sides, the people who signed and their email addresses, linked to the audit trail.

Value and payment terms

Total value, recurring fee and payment terms, so finance can filter by size and cash timing.

Key dates

Start, end, renewal and notice deadline dates, used for search and for renewal alerts.

Type and template

Customer, vendor, partner or employment, and the template it was drafted from.

Audit certificate

The hash chained record of every view, consent and signature, attached to the sealed PDF.

Obligations

On Business and Company, AI also lists payment terms, service levels and deliverables found in the text.

Evidence stays attached to the contract

A repository is also where you go when someone disputes an agreement. In Signee the signed PDF is never stored alone: the audit trail certificate travels with it and lists each event with a timestamp, the signer email and the IP address. Events are chained by hash, so a later change to the record would be visible.

That makes the repository useful to more people than the one who sent the contract. Finance checks payment terms without asking sales, legal confirms which version was signed, and a new account manager reads the full history of a customer without digging through a predecessor's inbox.

Dates in the repository feed directly into contract renewal management software alerts, so the same notice deadline you can search for also triggers an email to the owner before it passes.

Older contracts

Bringing existing agreements into the repository

On the Company plan you can import up to 500 signed contracts per month. AI extraction fills the same fields as for agreements signed in Signee.

  1. 1

    Upload

Add signed PDFs in bulk, for example a folder of vendor agreements or last year of customer contracts.

  2. 2

    Extract

AI reads parties, value, dates, renewal terms and notice periods from each document.

  3. 3

    Check

Review the extracted fields and correct anything that looks wrong.

  4. 4

    Search and track

Imported agreements appear in search and in renewal alerts next to new ones.

Extraction is the same step that powers AI contract management software features across Signee. It saves reading time, but it is not perfect on every scan, which is why every extracted field can be reviewed and corrected. Imports count toward the monthly limit when they are processed, and deleting an imported contract later does not give the quota back.

Contract repository questions

What is contract repository software
It is a central place to store signed agreements together with structured data about them, such as parties, value and key dates, so contracts can be searched and tracked rather than only opened.
Which plans include the repository
Every plan includes the signed repository with search, audit trail certificates, key dates and renewal alerts. Business and Company add AI obligation extraction and the renewal pipeline view.
Can I import contracts signed outside Signee
Yes, on the Company plan. It includes 500 contract imports per month, with AI extraction of parties, dates and terms for each imported agreement.
Can I limit who sees certain contracts
The Company plan includes roles and permissions, single sign on with SAML and workspaces per team, so for example HR agreements can be kept separate from sales contracts.
How accurate is AI extraction
It handles clear text well and can miss terms on poor scans or unusual layouts. You can review and correct every extracted field.
Can I export the audit log
Audit log export and data retention rules are part of the Company plan. Every plan attaches the audit trail certificate to each signed PDF.

Find any agreement by what is inside it

Store every signed contract with its certificate, dates and terms, ready to search. Plans start at 24 USD a month billed yearly.
