Contract management system

Contract management system in the cloud

A contract management system is the shared place where a company drafts, approves, signs, stores and tracks its agreements, with rules about who can do what. Signee is a cloud contract management system that combines a searchable repository, approval rules, e-signature, key date extraction and renewal alerts, so your team works from one source instead of folders and inboxes.

  • Runs in the browser, nothing to install
  • One searchable record per agreement
  • Approvals, signature and alerts built in
  • Users included in every plan

The system most teams already have, and why it breaks

Almost every company has a contract management system, even if nobody calls it that. It is usually a shared drive with folders by customer, a spreadsheet with end dates that someone updates when they remember, an email thread for approvals and a separate signing tool. Each part works on its own. The trouble starts between them: the spreadsheet says one renewal date, the signed PDF says another, and the approval that allowed a 20 percent discount is somewhere in an inbox of a person who left.

A proper system replaces those links with a single agreement record. In Signee that record holds the draft and its versions, the approval decisions, the signing status, the sealed PDF with its audit trail, and the dates read from the text. Because it lives in the cloud, sales, finance and legal open the same record from any browser without passing files around.

Signee is contract management software designed to be that record from the first draft. If your main problem is finding what is already signed, start with the contract repository software page. If you want the full picture of stages from request to renewal, read about contract lifecycle management software.

Building blocks

What a cloud contract management system should include

Use this list when you compare systems. Each item below is part of Signee, with the plan noted where it matters.

Central repository

Every signed agreement with its audit certificate, searchable by party, type, value and date. Included in every plan.

Templates with variables

Approved wording reused across deals, with fields for parties, fees and terms, plus AI drafts from one sentence.

Approval rules

Routing by contract value, discount or clause change, with approver chains. Business and Company plans.

E-signature

Signing order, reminders, expiry and missing field checks, sealed with an audit trail certificate.

Key dates and alerts

Start, end, renewal and notice dates read after signing, with email alerts before each deadline.

Access control

Users included per plan, with SSO, roles and permissions and audit log export on the Company plan.

Moving into the system without a migration project

You do not need to move everything on day one. Most teams start by sending new agreements through Signee, so every contract signed from that point is already structured. Templates you use today can be uploaded and turned into reusable documents with variables for the fields that change.

Agreements signed before Signee can follow later. On the Company plan you can import up to 500 existing contracts per month, and AI extraction fills in parties, dates and terms for each one so they show up in search and in the renewal view next to new agreements.

Once the dates are in the system, contract renewal management software features take over: each agreement has an owner, the notice deadline is calculated from the text, and the owner gets an email before it passes. That is often the first moment a team sees the system pay for itself, because a single missed notice period on a vendor contract can lock in another year of spend.
